MedicalTour.io – Refund and Cancellation Policy

1. Our Commitment

At MedicalTour.io, we are committed to providing a transparent, fair, and seamless experience for all our patients. This Refund and Cancellation Policy outlines the procedures and conditions for cancellations and refunds for services booked and paid for through our platform. Our goal is to balance the needs of our patients with the policies of our trusted healthcare provider partners.

IMPORTANT NOTE: Please distinguish between two types of payments:

• MedicalTour Service Fee: A fee charged by MedicalTour.io for our coordination, support, and platform services.
• Provider Deposit / Treatment Payment: A payment (deposit or full amount) made to the healthcare provider (hospital, clinic, doctor) for the medical service itself.

2. Online Consultations

For online video consultations booked and paid for directly on the MedicalTour.io platform:

• Cancellation More Than 48 Hours Before Appointment: If you cancel your appointment more than 48 hours before the scheduled time, you are eligible for a 100% full refund of the consultation fee.
• Cancellation Between 24 to 48 Hours Before Appointment: If you cancel within this window, a 50% cancellation fee will be applied. You will be refunded the remaining 50% of the consultation fee. This is to compensate the specialist for the reserved time slot that is difficult to fill on short notice.
• Cancellation Less Than 24 Hours Before Appointment: If you cancel less than 24 hours before your appointment, the consultation fee is non-refundable.
• No-Show: If you do not attend your scheduled appointment without prior cancellation, the consultation fee is non-refundable.

3. Treatment Packages & Deposits

When you book a treatment package (e.g., Dental Implants, Hair Transplant) through MedicalTour.io, your payment may consist of a MedicalTour Service Fee and a Provider Deposit.

• MedicalTour Service Fee: This fee covers our administrative, facilitation, and dedicated patient support services, including coordinating between you and the provider, travel arrangements, and translation assistance. As these services are initiated immediately upon booking, the MedicalTour Service Fee is non-refundable under all circumstances.
• Provider Deposit / Treatment Payment: The refundability of the deposit or any other payment made to the healthcare provider is subject entirely to the individual refund and cancellation policy of that specific doctor, hospital or clinic.
  • Each provider has their own set of rules regarding cancellations, typically based on how far in advance the cancellation is made.
  • MedicalTour.io acts as a facilitator for this payment but does not have authority over the provider’s own policies.
  • We strongly advise all patients to review the specific provider’s cancellation policy before making a booking. We will assist you in obtaining this information upon request.
  • In the event of a cancellation, MedicalTour.io will mediate on your behalf to ensure the provider’s policy is applied fairly, but the final refund amount from the provider is at their sole discretion.

4. How to Request a Cancellation and Refund

All cancellation requests must be made in writing to ensure there is a clear record.

2. In the subject line, please write: “Cancellation Request – Order ID #”
3. In the body of the email, please include your full name, the name of the provider, and the reason for cancellation.

Our team will process your request and notify you of the applicable refund amount (if any) in accordance with this policy within 5-7 business days.

5. Medical Emergencies and Exceptional Circumstances

We understand that unforeseen medical emergencies can occur. If you need to cancel due to a documented medical emergency, please contact us immediately at [email protected] with the relevant proof (e.g., a doctor’s note).

While our Service Fee generally remains non-refundable, we will review such cases on an individual basis and will advocate on your behalf with the healthcare provider for the most compassionate outcome possible, subject to their policies.

6. Policy Changes

MedicalTour.io reserves the right to modify this Refund and Cancellation Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website.
